Privacy Policy

POSX is built to help businesses manage everyday sales while keeping business records on the device. This policy explains what information is handled, why it is needed, and the choices available to you.

Overview

This Privacy Policy applies to the POSX mobile application ("POSX," "we," "our," or "us"). By using POSX, you acknowledge the practices described in this policy.

Privacy by design

Products, sales, stock, customer records, credit records, and reports are stored locally on your device. POSX does not use advertising SDKs or analytics trackers.

Information we handle

Account and licence information

When you create or use a POSX account, we process your shop name, email address, password, account identifier, subscription or trial plan, licence status, and related dates. Authentication credentials are handled by Google Firebase Authentication. We do not have access to your plain-text password.

Business information stored on your device

Information you enter into POSX may include product names, prices, barcodes, inventory records, sales, payment methods, customer names, phone numbers, notes, credit balances, payment history, and reports. This business information is saved locally on your device and is separated by POSX account.

Camera access

POSX requests camera permission only when you use the barcode or QR-code scanner. Camera frames are used to recognize a code and are not saved by POSX or uploaded to our servers. You may deny camera access and enter a barcode manually.

Technical information processed by Firebase

To provide secure sign-in and licence verification, Firebase may process technical information such as your IP address, device or browser user-agent information, and authentication activity. Licence records are stored in Cloud Firestore.

How we use information

We use information only as reasonably necessary to:

  • Create, authenticate, and maintain your POSX account.
  • Verify trial or paid access and prevent unauthorised use.
  • Provide point-of-sale, stock, customer, credit, and reporting features.
  • Respond to support, account, and deletion requests.
  • Protect POSX, its users, and the integrity of our services.
  • Comply with applicable legal obligations.

We do not use your information for behavioural advertising, sell personal information, or build advertising profiles.

We do not sell or rent personal information. Information is shared only in the limited circumstances described below:

Firebase Authentication provides account sign-in, and Cloud Firestore stores and verifies licence records. Google processes information under its applicable terms and privacy practices.

Legal or protective reasons

We may disclose information when required by law or when reasonably necessary to protect rights, safety, prevent fraud, or respond to a lawful request.

Firebase may process information in countries outside your own, including the United States and locations where Google or its service providers maintain facilities.

Storage and retention

Your POS records are stored locally on your device. They remain there until you delete them, clear the app's data, or uninstall POSX. Signing out does not automatically erase local business records.

Account and licence information stored through Firebase is retained while your account is active and for a reasonable period afterward when necessary for support, security, dispute resolution, or legal compliance. When information is no longer needed, we delete or anonymise it where reasonably practicable.

Request account deletion

You may request deletion of your POSX account and associated server-side account and licence information at any time. Send your request from the email address connected to your account, or include that email address so we can verify ownership.

After verifying the request, we will delete the Firebase Authentication account and associated licence record, subject to any information we must retain for legal, security, or fraud prevention purposes. Local POS records on your device are not removed remotely; clear the app's storage or uninstall POSX to remove them. We aim to complete verified requests within 30 days.

Security

We use reasonable technical and organisational measures designed to protect information. These include authenticated access, account-based separation of local records, Firebase security rules, and encrypted transmission when POSX communicates with Firebase. No method of electronic storage or transmission is completely secure, so absolute security cannot be guaranteed.

You are responsible for keeping your device and account credentials secure. Do not share your password, and use device-level protections such as a screen lock where available.

Your choices and rights

Depending on where you live, you may have rights to request access, correction, deletion, restriction, or a copy of personal information associated with your account, and to object to certain processing. You may also withdraw camera permission through your device settings.

Children's privacy

POSX is a business point-of-sale application and is not directed to children under 13, or the minimum legal age in the relevant country. We do not knowingly collect personal information from children. If you believe a child has provided account information, contact us so we can review and delete it where appropriate.

Changes to this policy

We may update this Privacy Policy when POSX features, data practices, or legal requirements change. The updated version will be posted on this page with a revised "Last updated" date. Material changes may also be communicated in the app where appropriate.
